Now Hiring: Accounts Payable & Payroll Administrator
The Accounts Payable & Payroll Administrator will be working in an accounting team of four to ensure all basic day-to-day AP and payroll functions are met. This position reports to the Accounting Manager.
What You’ll Do – Role Responsibilities
Accounts Payables (75%):
- Matching receiving documents to invoices and purchase orders
- Verify or assign payables to the correct account number and department.
- Verify accuracy of purchase invoices
- Ensuring all purchase invoices are approved for payment in a timely manner
- Generate invoices and execute weekly payments to vendors via EFT, wire transfers and cheques
- Setting up vendor accounts
- Reconciling vendor accounts
- Taking advantage of early payment discounts offered by vendors
- Filing/scanning of payable documents to ensure proper record keeping
- Investigate and respond to all accounts payable and payroll inquiries promptly and accurately.
- Improve the efficiency of automated and manual processing
- Collaborate with relevant teams to review supplier invoices and fuel contracts and clarify any discrepancies
- Special projects as required
Payroll Administrator (25%):
- Process payroll accurately and timely using Microsoft Excel and Ceridian (bi-weekly)
- Stay up to date with relevant payroll regulations and legislation
- Track and update employee changes in Ceridian
- Maintain and update employee information, such as records of employee attendance, leave and overtime to calculate pay and benefit entitlements
- Prepare and verify earnings for employees, indicating gross and net salaries and deductions such as taxes, insurance and pension plan
- Prepare, verify and process all employee payroll related payments, including regular pay, benefit payments, overtime and special payments such as profit sharing, bonuses and vacation pay
- Complete, verify and process forms and documentation for administration of benefits such as pension plan, leaves, employment and insurances
- Prepare payroll related filings and supporting documentation such as Records of Employment and other statements
- Assist in providing information on payroll matters and benefit plans
- Act as lead in responding to CRA payroll-related inquiries
- May be responsible for the development or implementation of payroll policies, procedures or processes.
What You’ll Need – Requirements
- Strong multitasking skills with the ability to manage various priorities and tight deadlines
- Detailed understanding of best practice in payroll legislation in Ontario
- Ability to handle sensitive information with confidentiality and care
- High level of accuracy and meticulous attention to detail
- Strong verbal and written communication skills, with the ability to explain complex information clearly
- Excitement about implementing operational improvements and automation to enhance efficiency
- A team player with a self-starter attitude, ready to take initiative and lead improvements
Experience & Qualifications:
- Certificate or degree in Accounting, Business Administration, Payroll or a related field.
- PCP designation is an asset
- Minimum 4 years of experience of combined payroll and accounting experience
- Experience with Microsoft Navision and Ceridian is an asset
- Strong skills in Microsoft Excel
